Overview

Magic Reel is a professional photography and videography studio delivering commercial work at volume. We rebuilt its public site and booking experience, then engineered the platform that now runs the studio: enquiry-to-booking workflow, structured client review, versioned assets, automated delivery packaging, and a live view of every job in flight.

Challenge

Bookings arrived through DMs and phone calls with no reliable record of scope, deposit, or shoot date, and delivery days were lost to coordination rather than creative work. Editors reconciled asset versions by hand, client feedback arrived across three channels, and nobody had a single view of what stage each job was at. Growth meant hiring coordinators instead of producing more work.

Solution

  1. 01

Mapped the full job lifecycle from enquiry and booking through to final delivery, timing every handoff.

  2. 02

Rebuilt the public site and booking flow so enquiries arrive scoped, dated, and deposit-backed.

  3. 03

Replaced thread-based feedback with a client review portal carrying versioned files and timestamped comments.

  4. 04

Automated file conversion and delivery packaging, triggered the moment a job is approved.

Engineering notes

  • Event-driven media pipeline with automatic retry on failed jobs
  • Role-scoped client review portal with full comment and approval history
  • Automated delivery packaging and archival policy

Business impact

  • Coordination moved out of chat threads into one auditable system.
  • Clients approve work in one place, with a clear record of who approved what and when.
  • Producers can run more concurrent jobs without adding coordination staff.
